The first person through the door on moving day will not care where the comms cabinet is. They will care whether they can log in, answer a call, access a file and serve a customer. Knowing how to plan office relocation IT means treating technology as a business-critical workstream from the moment you choose a new premises, not a last-week packing task.
An office move creates an opportunity to improve your infrastructure, retire ageing equipment and give staff a better working environment. It can also expose every weak point in your current setup: undocumented cabling, a connectivity contract tied to the old site, unclear ownership of systems or a backup that has never been tested. The difference is preparation.
How to plan office relocation IT before moving day
Start by appointing one internal decision-maker and one IT lead. In a smaller business, this may be an office manager working with a managed IT partner. What matters is that somebody owns the timeline, can make decisions quickly and understands which systems are essential to trading.
Build the IT plan around the date the business needs to operate from the new office, rather than the date removal vehicles arrive. Connectivity providers, cabling engineers, building managers and security installers all work to their own lead times. A leased line, for example, can require substantially more planning than a straightforward broadband service, particularly where construction work or wayleave approval is needed.
A useful first task is to identify your critical services. These usually include internet access, Microsoft 365, phones, line-of-business applications, printing, Wi-Fi, finance systems and secure remote access. Ask a simple question of each: what happens to the business if this is unavailable for one hour, one day or one week? The answer helps you prioritise budget, contingency and testing.
Survey the new premises properly

Walk the office with staff usage in mind. Meeting rooms need reliable video-call coverage and accessible connections. Reception may need phones, visitor Wi-Fi and a printer. Warehouses, clinics and workshops often need stronger Wi-Fi design than a standard office because walls, machinery and distance can affect signal quality. Good coverage is planned, not guessed.
Ask for existing cabling records, but verify them. Older premises can contain patchy, poorly labelled or obsolete cables. Reusing suitable Cat6 cabling may save money and time; inheriting unreliable cabling simply moves the problem into your new office.
Build an inventory and decide what moves
Before anyone unplugs a workstation, create an accurate inventory of devices, licences, services and suppliers. This is not paperwork for its own sake. It prevents missing equipment, unexpected subscription charges and last-minute calls to recover passwords or admin access.
Your inventory should cover at least four areas:
- user devices, monitors, docking stations, printers, mobiles and specialist hardware;

Do not assume the existing service will be ready to use. It may belong to the previous tenant, be unsuitable for your requirements or cease before your move completes. A backup connection is sensible for businesses that depend on cloud applications, card payments or VoIP calls. This could be a secondary line, a managed 4G or 5G router, or a carefully planned temporary service. The best option depends on coverage, available services and the cost of downtime. Crucially, test failover before it is needed. A spare router in a box is not a business continuity plan.
Protect security, data and access during the move

Back up critical data and verify that it can be restored. For cloud-based services, check what is protected, how quickly it could be recovered and who can authorise a restore. Keep a short moving-day runbook with contacts, escalation routes, equipment locations and the order in which services should be restored.
