A deleted customer folder at 4.45pm, a failed server on payroll day, or a ransomware alert can turn a routine working day into a business-critical incident. In the cloud backup vs local backup debate, the right answer is rarely one or the other. It is about how quickly your business needs to recover, what data it cannot afford to lose, and whether your backups will still be available when the unexpected happens.

For small and mid-sized businesses, backup is not simply an IT housekeeping task. It is a continuity decision. Staff need access to files, customers expect service to continue, and directors need confidence that an incident will not become an expensive period of downtime.

What is local backup?

Local backup stores a copy of your data close to where it is used. This might be a network-attached storage device, a dedicated backup server, encrypted external drives, or storage held in a server room at your premises.

The main advantage is speed. Restoring a large file server from a local device is typically much quicker than downloading terabytes of data over an internet connection. That matters when a business needs to bring critical systems back quickly, particularly where specialist software, large design files, databases or on-site servers are involved.

Local backup can also keep working when internet connectivity is unavailable. If your office loses its connection but the backup appliance is intact, your IT team can still begin recovery from the site.

The limitation is obvious when you consider the physical location. Fire, flood, theft, electrical damage or a serious ransomware incident can affect both your live systems and the device holding the backup. A local copy held permanently online may also be vulnerable if an attacker gains administrator access.

What is cloud backup?

Cloud backup sends an encrypted copy of data to secure off-site data centres through your internet connection. Depending on the service, it can protect servers, Microsoft 365 data, individual devices, virtual machines and selected business applications.

Its greatest strength is separation. If the office is inaccessible, a server room is damaged or hardware is stolen, the backup is held elsewhere. Authorised staff can restore data to replacement hardware, a temporary location or a cloud environment, subject to the recovery plan and available connectivity.

Cloud backup is especially useful for organisations with hybrid working, multiple sites or limited server-room space. It removes the need to manage physical media and makes it easier to retain historic copies for a defined period.

However, cloud recovery is not instant by default. Restoring a few folders may be straightforward, but recovering a large server estate can take time if bandwidth is limited. Local backup usually wins for large, urgent restores. A file server or virtual machine can often be restored from storage on the same network far faster than it can be recovered across the internet.

Cloud backup is often more than fast enough for individual files, mailboxes and smaller workloads. It also provides a vital alternative where the office, local equipment or internal network cannot be used. The best approach for a business with a demanding recovery target may be local recovery capability supported by an off-site cloud copy.

Protection from site-wide incidents

Cloud backup has a clear advantage here. A backup kept in the same building as the original data cannot protect against every event that affects that building. Even a carefully maintained local device is exposed to physical risks and, in some cases, the same power, network and user access controls as the production environment.

Off-site backup creates distance between the incident and the recovery copy. That separation is fundamental to business continuity, not an optional extra for larger organisations.

Ransomware resilience

Neither backup method is automatically safe from ransomware. What matters is whether backup copies are isolated, protected by strong access controls and retained in versions that cannot be altered or deleted by an attacker.

Local backups that are permanently connected and managed through compromised credentials can be encrypted alongside live data. Cloud backup can reduce this risk through immutability, multi-factor authentication and separate administration, but these protections must be configured and monitored properly.

Ask a direct question of any provider or internal team: if an administrator account is compromised, can an attacker delete or encrypt our backup copies? If the answer is unclear, the backup strategy needs attention.

Cost and management

Local backup usually requires upfront spending on hardware, storage capacity, replacement cycles and maintenance. It may suit a business that already has suitable infrastructure and needs fast restoration of large on-site workloads.

Cloud backup spreads costs through a recurring service model and reduces the burden of maintaining physical storage at the office. Yet storage growth, long retention and frequent changes to data can increase monthly costs. Businesses should budget for the full lifecycle, including recovery testing and the time needed to restore services.

Compliance and data governance

For organisations handling personal data, financial records, patient information or commercially sensitive files, backup decisions should support wider governance responsibilities. Retention periods, encryption, access permissions, audit trails and data location all need consideration.

A cloud service can offer strong controls, but it still requires a clear understanding of where data is held and who can access it. Local storage gives direct control over hardware, but that control comes with responsibility for physical security, patching, encryption and disposal. There is no compliance benefit in choosing one model if it is poorly managed.

Why a hybrid backup strategy is often the safer choice

For many UK SMEs, the strongest option is a hybrid model: a local backup for rapid recovery and a separate cloud backup for off-site protection. This aligns with the widely used 3-2-1 principle – keep at least three copies of important data, on two different forms of storage, with one copy held off-site.

A hybrid approach avoids treating backup as a single point of failure. If the internet connection is slow, a local copy can support a quick restore. If the premises are unavailable or local storage is damaged, the cloud copy remains available. If ransomware affects one environment, retained and immutable copies may provide a safe recovery point.

This does not mean every business needs to back up every file in exactly the same way. A practice management system, finance database and customer records may need more frequent protection and faster recovery than old project archives. The plan should reflect business priorities, not just storage capacity.

Build your backup plan around recovery objectives

Before selecting a product, decide what recovery looks like for your organisation. Two measures are particularly useful.

The recovery point objective, or RPO, defines how much data you can afford to lose. If files are backed up every four hours, a failure could mean losing up to four hours of changes. A busy sales database may require far more frequent protection than a document archive.

The recovery time objective, or RTO, defines how quickly a system must be operational again. For some services, recovery by the next business day may be acceptable. For payroll, trading platforms or customer-facing systems, even a few hours may be too long.

Once these targets are agreed, technical decisions become easier. You can determine which systems need local restoration, which require off-site copies, how long versions should be retained, and whether a temporary cloud environment is needed during a major outage.

Backups only work when they are tested

A successful backup job is not proof of successful recovery. Files may be incomplete, permissions may not restore correctly, a forgotten system may not be included, or recovery times may be much longer than expected.

Testing should be planned, documented and proportionate to the risk. A sensible programme may include regular file restores, periodic recovery of critical applications, and an annual scenario exercise covering a major outage or ransomware event. The goal is not to create disruption. It is to find gaps while there is time to fix them.
