A WiFi problem rarely starts with an obvious outage. More often, it appears as a video call that freezes in the meeting room, a cloud application that crawls at busy times, or a member of staff who can only work reliably from one corner of the office. Knowing how to plan business wifi coverage properly prevents these daily frustrations from becoming a drag on productivity, customer service and business growth.
For most organisations, WiFi is no longer a convenience layered on top of the network. It is the network employees use to access Microsoft 365, cloud systems, voice services, mobile devices and guest connectivity. A good plan considers where people work, what they do there and how the building affects wireless signals – not simply how many access points fit the budget.
Start with how your business actually works
Before choosing WiFi equipment, establish what the network needs to support. A small office of ten people mainly using email and web applications has very different requirements from a warehouse using handheld scanners, a care practice relying on cloud records, or a multi-site business holding regular Teams meetings.
Look at your typical and peak usage. Consider permanent staff, hybrid workers, visitors, contractors, company mobiles, tablets, printers, cameras and Internet of Things devices. Survey the building before planning WiFi coverage
A floor plan is helpful, but it cannot tell you everything about wireless performance. Building materials have a major effect on signal strength and quality. Plasterboard partitions behave very differently from brick walls, reinforced concrete, metal racking, insulated glass, fire doors or dense shelving.
The layout can also change the picture. Offices with open-plan desks may need fewer access points than a building with many enclosed rooms. Warehouses, workshops and older buildings often have reflective surfaces or obstructions that create dead spots and interference. The goal is reliable performance where work happens, not maximum signal strength in every cupboard and corridor. Excessive overlap between access points can create its own problems, so more hardware is not automatically the answer.
Choose access point locations carefully
Access points should be positioned according to the survey and expected usage, not just where a convenient socket happens to be. Ceiling mounting is often effective because it provides clearer coverage across an open area, but the right location always depends on the building and the equipment selected.
Avoid hiding access points in cupboards, above metal ceiling tiles or behind large objects. Keep them clear of obvious interference sources where possible, including microwave ovens, certain wireless devices and dense metal structures. In warehouse environments, mounting height, racking patterns and changes in stock levels all need consideration.
Each access point also needs a dependable wired connection back to the network. Wireless mesh can be useful where cabling is genuinely impractical, but it is a compromise. A cabled connection generally provides more predictable performance, more capacity and easier fault finding. This is why WiFi planning and structured cabling should be treated as one infrastructure decision.
Check whether the existing network switches can provide Power over Ethernet, often called PoE. This allows access points to receive both power and data through one network cable. If switch capacity, cabling quality or uplink speed is inadequate, new access points alone will not solve the underlying bottleneck.
Build security into the wireless design
Business WiFi should not be a single shared password for everyone in the building. Staff, guests and operational devices should be separated, so a visitor connection does not have the same access as a managed company laptop or a printer.
A sensible design commonly uses separate wireless networks for employees, guests and devices such as scanners, CCTV or meeting-room equipment. These can be segmented through VLANs and firewall rules to limit unnecessary access between systems. The exact approach depends on your systems and risk profile, but the principle is consistent: only allow the access each group needs.
Use strong authentication for staff WiFi, preferably tied to managed user identities rather than a password that remains unchanged for years. Guest access should be controlled, isolated from internal systems and simple for visitors to use. For some organisations, a captive portal or time-limited guest credentials are appropriate; for others, straightforward password access on an isolated network is sufficient.
Keep access point firmware current, replace unsupported hardware and record who administers the network. Plan for management, monitoring and recovery
A WiFi installation is not finished when devices connect successfully. Your business needs visibility into performance over time. Central management allows authorised IT support to check access point status, investigate recurring issues, apply updates and identify a growing capacity problem before it affects the whole office.
Monitoring should cover the wireless network, but also the foundations beneath it: internet connection, firewall, switches, power and cabling. If an access point drops offline, the cause may be a failed switch port or power issue rather than the WiFi hardware itself. A managed approach reduces the time spent passing faults between separate suppliers.
Document the design, including access point locations, network names, IP ranges, switch ports and security settings. It may feel administrative, but clear documentation is invaluable during an office change, cyber incident, equipment replacement or urgent support request.
Test the network in real working conditions
Once installed, test the network in the places and ways your team will use it. Walk through offices with a laptop or mobile device, make video calls from meeting rooms, connect guest devices and check performance at busy periods. Test roaming too: a call should not drop merely because someone walks from one side of the building to another.
Ask staff for focused feedback during the first few weeks. They will often identify real operational issues that a technical test does not reveal, such as poor coverage near a particular desk bank or a slow connection in the room used for client presentations. Feedback should lead to measured adjustments, not random changes to settings.
